Who we are
Mortgage Reports is run by Luke Pryor, who is responsible for your personal information (the "data controller"). For any question about this notice or your information, email luke@mortgagereports.org.
This notice has two parts: one for solicitors and others who contact or instruct us, and one for the people our reports are about.
Part 1: If you contact or instruct us
What we collect
Your name, email address and firm, anything you write to us, and, when you instruct a report, the details we need to invoice your firm.
Why we use it, and our lawful basis
We use it to reply to you and, if you instruct a report, to carry out and invoice that work. Our lawful basis is our legitimate interest in responding to enquiries and running our business, or taking steps at your request before entering into a contract. We keep invoices and accounting records because tax law requires us to.
Who else handles it
- IONOS hosts our email.
- Web3Forms delivers messages sent through our website form, with a spam check from hCaptcha.
- Our web host and content networks see your browser's IP address when the site loads.
How long we keep it
Enquiries that don't lead to an instruction are deleted within 12 months. Web3Forms may keep its own copy of website form messages for up to three years. Invoices and records of instructions are kept for 6 years.
Part 2: If you are the client a report is about
Your solicitor instructs us to prepare a mortgage capacity report for use in family or financial proceedings. We receive your information from your solicitor, usually on a client information form they complete with you, rather than from you directly.
What we hold
- Your name and date of birth
- The ages of any children or other people who depend on you
- Your employment, income, benefits and any maintenance you receive or pay
- Your credit commitments and credit history
- Your purchase plans, such as a likely price, deposit and mortgage term
- Anything else your solicitor tells us is relevant, which can include health information where it affects your work or income
Why we use it, and our lawful basis
We use it only to prepare the report your solicitor has asked for and to answer questions about it. Our lawful basis is our legitimate interest, and yours, in providing the evidence your solicitor needs for your case. Where health information is involved, we rely on it being necessary for establishing, exercising or defending legal claims.
Who sees it
- Your solicitor, who receives the report. They may share it with the other party, their solicitor or the court as part of your case.
- Google, which stores our case records in its European data centres (Firebase).
- IONOS, which hosts our email, and Resend, which delivers the emails we send reports with.
How long we keep it
We keep reports and the information behind them for 6 years after the report is issued, so that we can answer questions about it and deal with any claim, and then delete them.
Information sent outside the UK
Some providers, including Resend and Web3Forms, process information outside the UK, including in the United States. These transfers are covered by UK adequacy regulations (Resend is certified under the UK Extension to the EU-US Data Privacy Framework) or by the UK's approved data transfer agreements. Email us if you'd like details or a copy of the safeguards.
Cookies
This website sets no cookies of its own and uses no analytics or tracking. The form's spam check may set one short-lived security cookie when you open it.
Your rights
You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, limit how we use it or, where the right applies, give it to you in a format you can take elsewhere. Email luke@mortgagereports.org and we will usually reply within one month. Some rights have limits, for example where we need to keep a report for a legal claim, and we will explain if one applies.
Your right to object
Because we rely on legitimate interests, you have the right to object to our use of your information at any time. Email us and we will stop, unless we have compelling grounds to continue, such as needing it for a legal claim.

If you're unhappy with how we have handled your information, please tell us first at luke@mortgagereports.org. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
